Shinagawa International School (SIS) is seeking a highly motivated and experienced admission secretary. Salary Monthly salary 300,000 yen ～ Part-Time Hourly Wage: 1300 JY Working hours Monday-Friday 8:00~17:00 Treatment - Transportation expenses are covered (Up to 25,000 yen/month) - Employment insurance - Health insurance - Social Insurance Holiday / vacation 1 week in summer, 10 days in winter, 1 week in GW (or more in some cases), Job-Specific Knowledge & Skills · Solid time management skills - ability to multi-task and cope with peaks of demand · Advanced user of Microsoft Office and able to utilise technology well to present facts to the management. · Ability to follow up inquiries through HP Google forms, emails, phone calls · Japanese / English bilingual effective communicator(written and spoken) · Interpersonal skills, able to operate in a diverse environment · Highly organized and detail oriented. Experience · At least one-year experience in a secretarial position or a customer service focused role · Those who have a work experience related to children are preferable Qualifications · A college Degree from a reputed university is desirable (BA or BSc) Admissions Secretary Job Definitions a. Follow and update HP admissions pages, forms and admissions handbook when needed b. Follow inquiries through HP Google forms, emails, phone calls c. Make annual office calendar and use Google calendar for all inquiries, visits, interviews etc d. Schedule school visits, assist the principal during the visits and do the school visits individually e. Schedule parent and child interviews, assist the principal during the interviews, f. Coordinate child interviews with the related teachers g. Send acceptance/rejection emails/letters, inform about new students to the accountant for tuition fees, school bus fees, and any other fees h. Do the orientation for the new students and families i. Follow student registration process, prepare student individual folders j. Prepare and update student information directories k. Assist families to give school uniform, school lunch orders, ASP arrangements l. Join daily and weekly admissions meetings with principal and follow them according to the directions/guidance of the principal m. Input the information into the inquiry database daily/weekly basis n. Give monthly inquiry reports to the principal based on the database o. Support the school bus coordinator to arrange school bus for the new students p. Send letters and school information for open houses to international preschools/kindergartens, embassies, relocation companies q. Organize and follow open houses with administration r.
